The Stour Festival Company Limited (‘Stour Music’) takes your privacy seriously and will only use your personal information for administrative purposes and for the purposes for which it was given.
Friends of Stour Music
Stour Music will only use your personal information for administrative purposes and to provide the services to which you are entitled as a Friend of Stour Music.
If you cease to be a Friend of Stour Music for whatever reason, your personal information will be removed from any written or electronic database maintained by us.
If you make a Gift Aid Declaration in our favour, please refer to ‘Gift Aid Declarations’ below.
Stour Music currently uses the online ticketing system TicketSource for ticket sales. We will not share your personal information with TicketSource. Any personal information acquired by TicketSource from applications for tickets will be held in accordance with its Privacy Statement, which can be found on its website: www.ticketsource.co.uk/docs/customer-data-privacy-policy.
We will ensure that the same will apply to any organisation with which Stour Music may at any time hereafter contract ticket sales, as notified in publicity and on our website.
General Postal Mailing List
Stour Music will only use your personal information for administrative purposes and to send you the current Festival brochure once a year.
If you tell us that you no longer wish to be included in the General Postal Mailing List, your personal information will be removed from any written or electronic database maintained by us.
General Electronic Mailing List
Stour Music will only use your personal information to tell you when the current year’s Festival programme is online and to send you details of other matters and events which are either related to Stour Music or in which you, as a supporter of Stour Music, might be interested. This is done currently via MailChimp (see ‘Bulk Communication by Email’ below).
You can unsubscribe from the electronic mailing list at any time by using the ‘unsubscribe from the list’ facility at the foot of any email via MailChimp from newsletter@stourmusic.org.uk.
Stour Music itself does not hold your personal information in any written or electronic database.
Members of the Festival Choir
Stour Music will only use your personal information for administrative purposes in connection with your membership of the Stour Music Festival Choir.
If you tell us that you no longer wish to be included in the Festival Choir, your personal information will be removed from any written or electronic database maintained by us.
In any event, your information will be removed from any written or electronic database maintained by us, if there has been no contact between us for three consecutive years.
Donors other than Friends
Stour Music will only use your personal information for administrative purposes.
Unless you have made a Gift Aid Declaration (see ‘Gift Aid Declarations’ below), your personal information will not be retained after the end of the financial year in which the donation is made.
Gift Aid Declarations
Personal information contained in a Gift Aid Declaration is only used for the purposes of making claims to HMRC for repayment of tax.
In accordance with HMRC requirements, Gift Aid Declarations are retained for six tax years from the year in which we last received a subscription/donation from you that qualified for Gift Aid.
Bulk Communication by E-mail
Stour Music currently uses MailChimp (a marketing automation platform) for bulk emails to people who have subscribed to the general emailing list.
Any personal data up-loaded to MailChimp is held in in accordance with its own Privacy Statement, which can be found on its web-site: https://mailchimp.com/legal/privacy/.
Stour Music will ensure that the same will apply to any marketing automation platform with which Stour Music may at any time hereafter contract for sending bulk emails.

Security
Stour Music takes all reasonable steps to ensure the security of any personal information, however acquired and wherever held.
Complaints
If you think that there is a problem with the way we are handling your personal information, please contact the GDPR Secretary (see ‘Contact’ below) in the first instance.
